Minutes of Annual General Meeting – 18 July 2023

1 ELECTION OF CHAIRMAN AND SECRETARY FOR THE MEETING

Humayun Mirza was elected as Chairman for the meeting.

Peter Montgomery was elected as Secretary for the meeting.

2 ELECTION OF OFFICERS

The following members were elected to serve as the club’s committee for the

2023/2024 season.

Humayun Mirza was elected as Chairman

Peter Montgomery was elected as Secretary

Dixon Jones was elected as Treasurer

3 HEALTH AND SAFETY etc.

The club’s risk assessment has been accepted by the University, copies of it are

available on request. It is part of the University’s safety policy that children

present on the premises must be accompanied by a parent or guardian at all

times. This generated some debate but the policy must be complied with or the

Chess Club will be banned from University premises. Safeguarding Officer:

Sajid Kayani.

4 ANNUAL SUBSCRIPTIONS

It was agreed that Subscriptions for the 2023/2024 year would be £24 for

adults and £0 for juniors. In cases of financial hardship the club’s committee

will have the discretion to reduce or waive the fees.

5 CLUB TOURNAMENTS

Samir Vora agreed to act as Tournament Controller. A Club Championship will be

run during the 2023/2024 league season. There may be a couple of old trophies

that can be used.

6 BEDFORDSHIRE CHESS LEAGUE

1 team will be entered into the Bedfordshire chess league for the 2023/2024

season. Humayan Mirza will be Team Captain. Deputy Captains: Dixon Jones,

Deven Patel. We will aim to enter 2 teams in the Cordon Trophy.

7 EQUIPMENT

There are sufficient new sets boards and clocks to host 1 home match plus 1

spare clock. There are 2 other Digital Clocks. We have a good supply of

Scoresheets. As finances improve we hope to replace old equipment.

8 LEAGUE AGM

Humayun Mirza will attend. Others are welcome to attend but there club only

has 1 vote at the meeting. There are no objections to the proposed rule change.

9 COMMUNICATION AND WEBSITE

Currently the club uses WhatsApp. We also have a website,

Daman Singh was appointed as Media Controller

10 AOB

We need to try to do more to promote the group to Students at the university.

We need to have material ready for the new intake of Students.
